Principles

What distinguishes a library from a collection

A folder of good prompts is quickly assembled. These four points decide whether anyone relies on it a year later.

Approval is a role of its own. Whoever writes a template does not approve it themselves. That is exactly where the difference lies between a collection and a binding library.
Nothing gets lost. Every version is preserved and can be restored. That takes away the fear of losing a proven formulation through a change.
Templates belong to the institution. The stock can be exported in full. It is your work product and not tied to our platform.
Visible what is actually used. Templates nobody opens are not a knowledge treasure. Usage is readable, so the stock gets maintained rather than merely growing.

Limits

What the prompt library deliberately does not do

A library that promises more than it can keep quietly turns into a source of errors.

No library without maintenance. A stock nobody looks after goes stale and then becomes a source of errors rather than a help.
No replacement for a policy. The library puts a policy into practice, it does not decide what your institution wants to permit.
No automatic approval. A template becomes binding only through a person, in a role separate from writing.
No lock-in. The stock can be exported in full at any time, including history.

HiWi+ is in use at Karlsruhe University of Applied Sciences and was developed together with the departments there, along real workflows rather than at a desk.

Because then everyone types something different. A prompt library makes results comparable across people and faculties, keeps the good formulations in the institution when someone leaves, and is the form in which an adopted AI policy actually reaches daily work.
